New HRSM platform realization from WEZOM
What is HRSM
At the start, HRMS is a tool or app that provides a range of abilities for team organization and HR processes. People may refer to it as an all-in-one platform, and they are not exaggerating. HRMS is a platform that can be used to compile reports, surveys, automate duties, training, and other tasks. If the platform is adjustable, you can pick the features according to your demands. If you purchase a subscription for such services, then you have to accept the features already provided. Nevertheless, the cost for these solutions can be high.
Big companies are more likely to engage in custom development due to their preference for it. Additionally, security is a primary reason for them to select private platforms. Outsourced software can't guarantee the safety of their information, making it less attractive.
What does our client need
The request we received was from a customer of ours that supplies gas across Ukraine and most of Europe. Because of the NDA in place, we cannot mention their name, so for the purpose of this document we will refer to them as the Energetic Company (EC).
In February 2021, a thorough assessment of customer needs was conducted, unaware of what would happen in the coming months. Consequently, when the pandemic hit, the need to change the software utilized by the firm became a high priority. This can be attributed to the EC's unwillingness to use the platform of a sanctioned country, since it handles sensitive state information, which could have a damaging effect on the energy system's operations if it were to become public.
In addition to the security issue, the project had to cover the following functionality:
- Work onboarding process. The platform should manage and threaten the onboarding process of new employees.
- Training process. It also had to store and record the process of training for employees.
- HR functionality. The client wanted the platform to also be able to manage leaves of absence. Such a feature would simplify not only the monitoring of employee activities but also the process of requesting leave from employees.
-
Job administration. The platform should also capture all salaries, bonuses, overall productivity analytics, billing functions, and off days.
When the customer reached out to us, he was already familiar with comparable platforms and programs. As such, it was simple to devise a strategy of what the outcome should be.
Some challenges
Prior to requesting a tailored solution, the customer experimented with platforms such as Hurma, Academy Ocean, People Force for HR management, iSpring for training, as well as 1C and MS Dynamics Thus, the client had a notion of what the ultimate version of the platform should be like. Nevertheless, during the dialogue and research, our team encountered some problems.
-
EC had no prior experience in creating intricate platforms from the ground up, so they had no knowledge of the progression of events and how to handle them. Furthermore, the client had never automated any processes before, which was a significant factor to consider since the platform was designed to address this exact issue.
-
WEZOM developed supplemental components to keep pace with the development of the platform, which was taken into account when constructing the framework and creating the core platform. Ensuring synchronization was also a major hurdle. As for extra features the platform should coordinate with, it was expected to be a Customer Relationship Management system, a document management application and an accounting program.
-
Our team conducted a thorough examination of the customer's needs, revealing what their existing applications were missing. It became clear that the services did not have the capacity to link the necessary integrations, and their features were limited. Because the client was in the energy sector, specialized functions were especially important.
EC had the intention of reselling the product after its release. Their objective was to either completely or partially sell it to related businesses and offer it to companies at M&A mergers. The research period took around a month and a half, and the complete development started in the April of 2022.

Solutions from WEZOM
At the commencement of the project, our team was well-informed of the expected outcome. The patron was aiming to enhance all procedures and concentrate on a single platform. We divided our work into multiple steps:
- In-depth analysis of information. In this phase, we focused on interviewing the client to understand their basic needs. This is where we learned that EC had already tried other platforms to work with and what they didn't like about them.
- Competitor Market Analysis. An important step is to understand which references we can rely on. We paid particular attention to UI/UX design specifically, as well as the functionality of the platforms.
- Rapid Prototyping. To understand what the application would look like, we created a prototype, which we later validated in UX Moderate format and tested on end users.
- Formation of Terms of Reference. After we saw how the application approximately works, we generated the terms of reference and requirements for the UI/UI storybook.
- Formation of the release plan. Before forming the release plan, we also consulted at each stage with the client.
There were 14 people from the WEZOM team at the time of the work with the platform, including developers, product managers, and designers.

Final Result
By utilizing our tailor-made platform, the user is able to save 64.7% of their time by improving their business operations through the program, and their HR activities have seen an enhancement of 52.9%. The HRMS system has had a beneficial influence on a few departments simultaneously:
-
HRM Department. Firstly, the platform had a positive impact on HR processes. Primarily Head of HR, Recruiters, C&B manager, HR generalist, and also Travel Manager.
-
Sales Department. The platform also helped to control the work of the sales department, as well as helped to monitor the employees' productivity more easily.
- Call Center. Another department in the company experienced a positive effect from the fixation of all work processes in the application.
In conclusion, it is essential to acknowledge the tremendous effect of HRSM platforms on team workflow and productivity. By facilitating compliance, efficiency, and comprehensive reports, they have been successful in raising productivity. In the coming years, it is predicted that HRSM platforms will incorporate AI to automate processes even more, thus indicating that this is only the start of their evolution.
